Meet ANIMA: Workspace Intelligence for companies

For teams whose information is spread across groups, documents, and systems.

Today we are launching ANIMA, AI for companies. It joins the collaboration tools your team uses every day, such as LINE, Slack, and Teams, learns how your company works, and has the work ready before you ask. Anything that sends a message on the company's behalf or writes to a system is confirmed by you first, so you only make the decisions that matter most.

In recent years, companies have bought AI tools, yet employees still have to explain the background, gather the materials, and paste the results back into a group or system themselves. With ANIMA, AI works right where the team collaborates and takes on tasks the way your company does them.

(The following example is illustrative.) At 4 PM on Friday, a client asks in LINE for a quote on 30 display cabinets. The sales rep hasn't replied yet, but ANIMA has already drafted a first version using the company's quote format, discount limit, and this client's history, and handed it to the rep. The quote goes out only after the rep confirms.

Workspace Intelligence: a new way to work together in the age of AI

Workspace Intelligence is a way of working in which AI joins the collaboration tools your team already uses every day, learns how the company works, gets the work done before you ask, and leaves the most important judgments to people. Put simply, AI does the work right inside your groups and channels.

It brings three changes.

No more step-by-step instructions. As soon as work shows up, ANIMA starts on it.

Personal know-how becomes the team's way of working. ANIMA distills each person's way of doing things into an organizational standard and switches it on once the responsible colleague confirms it. Even when people move on, the rules of thumb stay.

Scattered information becomes complete company context. Company context is the background AI needs to work inside a company. This information used to sit in conversations, documents, and system records. ANIMA organizes it so every judgment has something to stand on.

To learn how this way of working operates, see Workspace Intelligence.

Figure 1 | ANIMA's architecture: the orchestration hub coordinates workflows, agents, skills, the knowledge base, memory, and triggers, with company context as the foundation.

The orchestration hub: learn, execute, optimize

The orchestration hub is the layer where ANIMA coordinates work. It decides which agent (an AI that can carry out tasks on its own) gets each task, what to do first, and how to do it better. It has three capabilities.

Learn. If a manager adds the same note to every quote, ANIMA adds it directly the next time it prepares a first version. ANIMA learns your preferences and your team's way of working from everyday collaboration.

Execute. ANIMA doesn't wait for step-by-step instructions. Being mentioned, receiving an assignment, getting a notification from a system, or reaching a scheduled time can all start it working. For example, every Monday morning, last week's sales summary is already in the team channel.

Optimize. It keeps finding the waits and detours in a workflow, so the same work gets done faster and in fewer steps.

You set the boundaries

Anything that sends a message on the company's behalf or writes to a system is confirmed by you first. The data each person can see through ANIMA matches their permissions in the original systems. If someone's access is revoked in the original system, ANIMA revokes it immediately too.

Your files stay in your existing NAS, Google Drive, or Notion, and ANIMA's servers don't store them. The servers are in Taiwan, and your data is never used to train AI. Personal information such as names and phone numbers is replaced with codes before AI processes it. If regulations or contracts require data to stay inside the company, you can use a private cloud instead, or set the system up on your own premises.

* Private cloud, on-premises, and hybrid setups are evaluated against your needs before rollout.

In LINE groups shared with outside partners such as clients and vendors, ANIMA only reads data that has been opened to outsiders, such as frequently asked questions. For the full explanation, see How ANIMA protects your data.

Coordinating 500+ tools, skills, and workflows, and taking initiative

Coordinated by the orchestration hub, agents can use more than 500 tools, skills, and workflows. A tool is a single action, such as reading shipping records from an ERP. A skill is a company-specific way of working, such as turning your quote format, discount limit, and approval order into a “quote builder.” A workflow strings several actions into one process, such as compiling a sales summary every Monday.

From organizing a reconciliation spreadsheet and building slides with the company template to drafting an email to a client, there are ready-made tools for common work. Once you confirm the result, it can also be written back to systems such as your ERP, Notion, and Jira.

Built on company context

ANIMA can do all this because of company context: what clients care about, a contact's preferences and sore spots, and how similar cases were handled before. Within the limits of permissions, this context is available to every task. For the technology behind it, see company context.

Works with the tools your team already uses

ANIMA can read data from more than 200 data sources, from LINE groups, Gmail, Google Drive, and Microsoft 365 to Synology NAS and ERP systems. You can check whether the systems you use are on the list during the 30-minute call. Your team keeps using the tools it knows, and ANIMA joins your groups and channels with its own account.

Teams already using ChatGPT or Claude can also give those AI tools ANIMA's company context, so company knowledge and skills are available right in the interface they know. An admin sets it up once and the whole team shares it. See How ChatGPT and Claude work with company context.

Live in as little as 1 day

Setup takes four steps and can be live in as little as 1 day:

  1. Consultant interview: we learn what your team does and what it is aiming for.
  2. Connect data: we help connect data sources such as LINE groups, cloud drives, and your ERP.
  3. System testing: we trial it on your team's real cases and confirm the results meet your needs.
  4. Go live: your team starts using it in the tools it already knows.

The actual setup timeline may vary with the scope of the connections.

During setup, the ANIWEAVE team works with you one on one. Your team only needs to name one contact who knows the business well.

Teams that fit this profile see results most easily: important information is spread across groups, documents, and an ERP; many cases move between groups and systems every day; and similar cases such as quoting, reconciliation, and restocking come up every week. Examples include proposals and quotes for new trips at a travel agency, campaign adjustments at an advertising agency, restocking and purchasing at a trading company, and new-matter preparation at a law firm.

To see what ANIMA can have ready for your team, bring a document your team handles every day, such as a quote or a reconciliation spreadsheet, and book a free 30-minute call.
